Once you master basic tagging, let’s step into “Tag Workflows”. This is a powerful technique for dynamically managing items across locations and categories.

🔍 Multi-dimensional Filtering (Aggregation)

The Power of Tags

Tapping a tag creates a “Virtual Box”. Even if your charger is in the “Bag” and your cable is in the “Drawer”, tapping the #Digital tag gathers them all in one place instantly.

Practical Workflow

  1. #ToBuy (Shopping List)

    • When you run out of shampoo or soy sauce, don’t write a note. Just add the #ToBuy tag to the item in the app.
    • At the store, open the #ToBuy aggregation page. Your shopping list is ready, sorted by store section if you used space wisely.
    • After buying, simply remove the tag. The item returns to its “Stocked” state.
  2. #TooMuch (Declutter List)

    • Find clothes you don’t wear? Add #TooMuch.
    • When you have time for spring cleaning, review this list. It helps you decide what to sell or donate.
  3. #Repair (Maintenance)

    • Loose button? Broken toy? Add #Repair.
    • On a rainy Sunday, tackle this list.

Precise Advanced Filters

When a tag contains too many items (e.g., #Electronics might have hundreds), the aggregation page offers powerful secondary filters:

  • Filter by Category: In #Work, only show items of [Stationery] category.
  • Filter by Space: In #StorageBox, only show boxes located in the [Attic].

With these combinations, you can pinpoint “Those electronic products in the attic labeled with #StorageBox”.

🔧 Batch Tag Management: Keeping Order

Over time, your tag system might develop synonyms (like “book” and “books”) or obsolete tags. Tag Management Center is your tool to keep the system clean.

Access: Settings -> Tag Management

Core Batch Operations

Tap the “Edit” button at the top right to start batch management:

  1. Merge Tags — Cleanup Hero

    • Scenario: You have #medicine, #Meds, and #Pills.
    • Action: Select all three, click “Merge”.
    • Result: Choose one main tag (e.g., #Medicine). The system migrates all items to the main tag and deletes the old ones. Zero data loss, instant order.
  2. Batch Rename

    • Fix a typo or standardize naming style (e.g., #book to #Books). One click updates all associated items.
  3. Favorite Tags

    • Mark frequently used tags (e.g., #ToDo, #Daily) as favorites. They appear at the top of selection lists for efficiency.
  4. Safe Delete

    • Delete unneeded tags. The system ensures this never deletes the items themselves, only the tag association.

🎯 Best Practices

Establishing a Clear System

  1. Function First: Use functional tags like #Work, #Gym, #Cooking.
  2. Status Helper: Use status tags like #New, #Used, #Lent.
  3. Regular Maintenance: Visit Tag Management every few months to merge and clean.

Avoid Over-tagging

  • Golden Rule: 2-4 tags per item is usually enough.
  • Information Layering:
    • Category: “What is it?” (Book)
    • Space: “Where is it?” (Shelf)
    • Tag: “What is it for?” (#Study), “Whose?” (#Dad), or “Status?” (#Unread).
